Who can 'enter' Checks.

A user who wants to enter checks must be given two rights, they are:

  1. The right to view checks issued to at least one 'contact type', and

  2. The right to access the 'Payables -- CHECKS' menu bar selection.

These rights are managed by the administrator using the 'Manage Users' window.  

Let's look at the case of Larry Potter.  He is a TeemWork user.  His team works in a company dealing in software development.  One of his tasks in the company is to enter checks for their suppliers.  

Below are the steps taken to give Larry the right to enter checks for the contact type, 'Suppliers'.

First, the team administrator opens the 'Manage Users' window with a click on the 'Manage Users' menu bar selection.  This is shown in the first slide.

Then the user's row is located and is clicked.  

Next, the 'Access to Contact Type' tab to clicked.  Then, the check box in the column, 'Can view Checks' is clicked, 'On' for the 'supplier' contact type .

Below is a slide of the 'Manage Users' window.  

Now Larry can view checks that have been issued to 'Suppliers', but cannot as yet enter checks to 'Suppliers'. A second right must be given to Larry to allow him to enter checks.

This additional right is also managed using the 'Manage Users' window.

This time the administrator clicks the 'Accounting' tab.  Along the side is a column of check boxes.  To allow a user the right to enter checks, click the top check box.  It is labelled, 'Have access to menu bar selection 'Payables - Checks.'

The 'Accounting' tab is illustrated in the next slide.

After the check box is checked, click the 'Save' button.  

When Larry next LOGINs, he will find that he has been given an additional menu bar selection.  It is called 'Accounting.'  When clicked, Larry Potter has the choice of 'Payables -- CHECKS.'

 

Now Larry Potter can 'view' checks to suppliers and he can access the 'Payables -- CHECKS' menu bar selection.  He can now 'enter' checks to suppliers. 

Below is the first window that opens when 'Payables -- CHECKS' is selected.  Click the top button labelled, 'Enter a new check.'  This opens the window where new checks are entered.

Larry also can enter checks by clicking the 'Show Checks List' button located in the supplier's contact cards.

Click the 'Show Checks List' button to open the window.  

From this window, the user can click the 'Make a check' button.  Below is a slide illustrating the 'Show Checks List' window.

In the above window, the user may view the checks made out for the contact, view the expenses for the contact or enter a new check.  The 'Make a Check' button is available for this user.

In either case, via the contact card or the menu bar selection, a user can open  the 'Checks' windows.
