The 'System' Tab
The 'System' tab of the 'Manage Users' window allows Administrators to configure many TeemWork functions. The settings on this tab apply to all users of your team, so it doesn't matter which team member is selected at the top of the window.
There are four sections on this tab:

As you can see (unless you logged in as user 'READONLY') there is also a button labeled 'Manage Licenses'. It is used to display the 'Manage Licenses' window. You can use it to monitor LOGINs and activate TeemWork's multi user option.

If you are running TeemWork in local mode with a TeemWork database on your computer, a special frame called 'Database Administration' will de displayed at the right of the window. It allows you to manage your SQL Server or MSDE database.
To access the database control panel, you must first enter the database password:

If you have never changed your database password, accept the provided default value, and click on the 'Login to Database' button. Starting with TeemWork Version 2.3, the default password is 'PASSWORD', previously is was nothing, a null string.
If you have entered your password correctly, several buttons will appear:

Backup Database
It is a very good idea to make frequent backups of your database, to protect against hard drive crashes, for example. When you click on the 'Backup Database' button, a backup is made in the 'C:\TeemWork\MSDE2000\' folder.
The actual backup is the file named 'TeemWorkDBbackup'. It will not fit on a diskette. It is a good idea to copy it on a CD or on another machine if you can.
If there is already a file 'TeemWorkDBbackup' in the 'C:\TeemWork\MSDE2000\' folder, and you click on the 'Backup Database' button, TeemWork will automatically overwrite the old backup. If you want to keep many backups on your hard drive, you could simply move or rename the 'TeemWorkDBbackup' file.
Shrink Database
If you use TeemWork a lot, the space taken up by the database files will grow. Every once in a while, you should click on the 'Shrink' button to compress the database.
Restore Database
Clicking on this button won't restore the database; it will simply bring up a message box explaining how to restore it.
First, you have to download the RestoreDB.exe file found on this website, and move it into the 'C:\TeemWork\' folder (if you haven't already downloaded it). Then, you have to restart your computer, and immediately run RestoreDB.exe.
RestoreDB uses the 'C:\TeemWork\MSDE2000\Data\TeemWorkDBbackup' file to restore the database. If you want to use another backup, such as one that was copied on a CD, you must copy the file from the CD to the 'C:\TeemWork\MSDE2000\Data\' folder, and rename it to 'TeemWorkDBbackup' if its name is different.
IMPORTANT: Restoring the database will erase everything that was entered into your existing TeemWork database since the backup was made. If you are unsure about restoring your database, it is probably a good idea to make a backup of the existing database and then make sure that you really want to do a restore before you do it.
Change Password
Click on this button to change the database password that you have to enter when you go to the system tab (where you are now).

TeemWork will ask you to enter the new password, and to write it again to make sure that you haven't made any typo. Click on change to save the new password.
We highly recommend that you use a password to protect your database.
Important: You need to know your password in order to back-up, shrink and restore your database. You also need to know your password in order to change it. If you change the database password, as you should, make sure that you remember it (and that you share it with someone you trust) because there is no way to recover lost passwords.
Shortcuts for 'WebSite URLs or FileNames'

In TeemWork, each Contact and each unit of Equipment in a Contact's Profile can be linked to a web page or to a file name such as is displayed below:

The information entered can be a link to any web site URL or any file name on any drive of any computer on your network. (Windows must be configured to allow sharing of these files). Here are some example of valid values
www.anywebsite.com/special/part2/docinfo.htm
\\HP900\D:\Shared\Clients\CustInfo\Contracts\Contract4756.doc
\\HP900\D:\Shared\Clients\CustInfo\Proposals\Proposal.xls
Some find that most of the field values that they use begin identically, for example:
www.anywebsite.com/special/.....
You can specify shortcuts to avoid having to always reenter these characters.

The shortcuts can be used to specify the beginning of the value to be stored in the 'Web Site URL or FileName' fields, such as

In this example, the entered value is equivalent to
'www.anywebsite.com/special/part4/profumo.htm'.

In this other example, the entered value is equivalent to
'\\HP900\D:\Shared\Clients\CustInfo\Proposals\Proposal.xls'.
Consider the use of shortcuts when most of your links are to the same directories. You will have fewer keystrokes to enter when you specify a 'Web Site URL or FileName'. If you ever decide to move your files elsewhere, you will then be able to change the shortcut values and avoid having to reenter all your 'Web Site URL or FileName' values.
Finally, in some cases, improved confidentiality results from the use of shortcuts. When a user clicks on a web site URL, such as '1//part4/profumo.htm' TeemWork will display URL address 'www.anywebsite.com/special/part4/profumo.htm' but the user will not be able to find out that '1//' is equivalent to 'www.anywebsite.com/special/'. You can use this to 'hide' where you store information that is meant for TeemWork users only.
The 'Accounting' frame contains fields related to the TeemWork Accounting (click here for more information).

These values will be used by TeemWork to produce financial statements.
Documentation Data Base Parameters
This frame contains the Internet address of your team's FTP web site, and the UserID and password that TeemWork should use to connect to it. See 'What is Document Management' and 'Setting up Document Management for your team' for more details.
